How to use RACI Responsibility Matrix Builder
Prepare a small team’s responsibility discussion from assignments you supply. Each participant has a column and each activity has a row. The tool distinguishes doing work, answering for its outcome, providing input and receiving updates, then shows every role count and its source witness. Choose a review convention or simply report counts; the matrix does not establish anyone’s authority or agreement.
- Create a wide CSV whose first header is exactly activity. Add one to twenty distinct participant or role names across the remaining columns and one to one hundred distinct activities down the rows.
- Enter uppercase R, A, C or I in each assignment cell. Separate combined roles with slash or comma, for example R/A or a quoted CSV cell containing A, R. Leave an explicit empty cell for an unassigned participant.
- Choose one A and at least one R to flag missing or multiple accountability and missing responsibility, or choose report counts only when your working convention differs.
- Run the review and inspect row counts, participant counts and source witnesses. Download the semantic HTML matrix, complete original-source JSON or canonical CSV to continue the team discussion.
Good to know
- One local comma-CSV: at most 60,000 UTF-16 units, 200,000 file bytes, 100 activity records and 20 participant columns. The first header must be activity; every record must include all blank cells. An optional initial UTF-8 BOM is allowed. Invalid encoding or malformed CSV refuses the complete export.
- Participant names and title are 1–80 UTF-16 units; activity labels are 1–160. Labels must be exact distinct, single-line strings with no outer whitespace. No case folding, Unicode normalization or fuzzy matching occurs. Unsupported controls, bidi formatting and malformed Unicode are refused.
- Assignment cells are at most 24 UTF-16 units. Use distinct uppercase R/A/C/I letters separated by slash or comma, with optional ASCII spaces or tabs. Empty or ASCII-space-only cells mean unassigned. Letter sets are displayed in R/A/C/I order; repeated, lowercase or unknown roles are refused.
- A combined R/A cell counts once as an assigned cell and once in each role. Participant totals count activities and role memberships, not time, capacity, fairness or seniority. Exact record numbers exclude the header; one-based column numbers include activity.
- The one-A/at-least-one-R check is a selected discussion convention. Counts-only returns no pass/fail result. Neither mode verifies legal authority, employment facts, actual task completion, consent or regulatory compliance; the tool never assigns people for you.
- JSON preserves the full original source and raw assignment cells. CSV changes role order and prefixes formula-looking labels with an apostrophe; exact originals remain in JSON. HTML uses escaped literal text, semantic tables and fixed styles without script or external resources. Each complete output is limited to 1,200,000 UTF-16 units and UTF-8 bytes; no partial export is returned.
Common questions
Must every RACI matrix have exactly one accountable person?
Conventions differ. Select the one-A review when that is your team’s declared rule. Otherwise use counts only and discuss the submitted assignments; multiple A cells are not rejected as invalid data.
Can one participant be both responsible and accountable?
Yes. Enter R/A or A/R, or a quoted CSV cell containing A, R. Both letters are retained as one role set, with one count in each role. Other distinct R/A/C/I combinations are also accepted; whether they suit your process is your decision.
Does the HTML export include my original CSV?
It shows the normalized matrix and complete participant counts. The separate JSON evidence retains the exact source CSV, raw cells and row/column witnesses. Download JSON as well when source preservation matters.
Are the names or assignments sent anywhere?
This workflow reads the selected local file or pasted text in your browser. It makes no network request, stores no history and creates only the download you select.
